Contracts & assets

Every contract, every site, every asset.

One register for what you buy and where. Savvi works out the dates that matter, surfaces renewals months ahead, and runs mobilisation and demobilisation as your portfolio changes.

Contract register

Never miss a notice date again.

Every contract with its supplier, category, reference, term, value and owner. Savvi works out the notice-by date from the end date and notice period, and links each contract to the properties and assets it covers.

  • Fixed and rolling terms, with notice periods
  • Annual value per contract, and per site where a contract covers several
  • Created automatically from a tender award
Renewals

Twelve months of decisions, at a glance.

The dashboard lists the renewals coming up, and the decision calendar shows every contract needing a decision over the next year, so tenders start in time and nothing renews by default.

Properties

What every site costs, and who looks after it.

Each property shows its region, status and go-live date, every contract that covers it, its assets and its recent activity. See what a site costs by service and supplier in one place.

Asset register

The register your tenders are built from.

Plant and equipment per property, with the detail suppliers price against: equipment type, manufacturer, model, number, visits per year, location, warranty and the service line it's paid from.

  • Import your existing list, preview the changes, re-import when it changes
  • Service lines with general ledger codes, so finance can split costs
  • The source of every tender's scope, snapshotted at creation
Mobilisation & demobilisation

Sites in, sites out, nothing dropped.

Portfolios change. When a site comes on, Savvi plans everything that has to be in place by go-live. When a site leaves, or a supplier changes after a tender, it makes sure every contract, certificate and asset is dealt with.

  • New builds and take-oversEach site gets a go-live date and a checklist: survey, contracts, suppliers, PPM.
  • Supplier mobilisation plansCollected at prequalification and tracked for every site a supplier takes on.
  • Clean exitsNotice dates per contract, pro-rated values, final certificates and assets returned.

Questions

How does Savvi work out the notice date?

From the contract's end date and its notice period. The notice-by date is what drives renewals on the dashboard and the decision calendar.

Can we import our existing asset list?

Yes. Import the spreadsheet or the export from your maintenance system. Savvi previews what will be added and updated, highlights rows to check, and can re-import later as the register changes.

What is a service line?

The sub-service an asset is maintained and paid under, such as gas safety, mechanical or A/C and ventilation, each with its own general ledger code. Tenders group lines by service line, so awards and purchase orders split cleanly for finance.

What happens when we take on a new site?

Add it as mobilising, as a new build or a take-over, with a go-live date. Savvi tracks the steps to go-live: the asset survey, which incumbent contracts stay, which suppliers are appointed and their mobilisation plans, and the first planned maintenance.

And when a site leaves the portfolio?

Savvi lists every contract that covers the site, with the date notice needs serving under each, adjusts annual values for contracts that cover several sites, and tracks final visits, certificates and assets due back.
