Tender smarter. Award with confidence.
Build tenders from your asset register, collect line-by-line prices without a single spreadsheet, and let Savvi suggest the right supplier for every property.
One tender, from scope to signed contract.
- 01ScopePick the properties. Every asset line comes in from the register, grouped by service line.
- 02PackInstructions, non-negotiables, PPM frequencies, documents and the questionnaire, in one place.
- 03InviteEach supplier contact gets a personal link. Onboarding gaps travel with the invitation.
- 04CompareAs bids land, the cost analysis builds itself, with prices out of line flagged.
- 05Best and finalShortlist, reopen with round-one prices carried forward, and score the finalists.
- 06Award and mobiliseSavvi suggests a supplier per property. You decide, sign off, and contracts are created.
The cheapest bid isn't always the best award.
Savvi weighs every bid the way your best buyer would: on cost, and also on service, continuity, location and track record. Then it suggests a supplier for each property, explains why, and shows what the whole award does to your portfolio.
- Weighs what mattersPrice, call-out terms, response times, incumbency, distance to site, site feedback and past service.
- Explains every pickA plain-English reason for each property, including what you'd give up by choosing differently.
- Tests strategiesLowest cost, balanced, keep continuity or fewest suppliers, side by side on the same bids.
- Keeps you in chargeA suggestion, never a decision. Nothing changes until you apply it and sign it off.
See the trade-offs before you commit.
Run the same bids through different strategies and compare the outcome: the saving, how many suppliers you'd manage, the largest share any one supplier would hold and how many sites keep their current supplier.
- Rules you set are checked in every scenario, such as no supplier over 20% of the portfolio
- Each supplier's volume discount applied for the number of sites they'd win
- Start from a scenario, then change any property by hand
Score the finalists on more than price.
Round two opens for your shortlist with their round-one prices carried forward. Score them on your criteria: cost and call-out criteria calculate themselves, and the rest take a score and a note.
- Default criteria: PPM cost, call-out charges, service continuity, regional fit, USPs, site feedback, prior service level
- Your own criteria and weights, fixed when round two opens
- Weighted totals and ranking, feeding straight into the award
From asset register to tender in minutes.
Pick the properties and every asset line comes straight from your register, with numbers and visits per year, grouped by the service line it's paid from.
- A snapshot at creation: the tender never edits your register
- Refresh from the register before you open, if anything has changed
- Current cost and budget beside each property, ready for the comparison
A bid in a browser, not a spreadsheet.
Suppliers open their link and price every line, tick the sites they're not bidding for, give call-out rates per property and quote volume discounts. They see their totals before they submit, and can resubmit until the deadline.
- Call-outs: 4-hour response without subcontracting, first and subsequent hour, travel
- Up to four volume discount tiers, quoted by the supplier
- Questions asked and answered in the same place
Your cost analysis, built as the bids arrive.
Every line beside budget, current cost and every other bidder, with subtotals per service line and property. Filter by site, service or supplier, and export the sheet whenever finance needs it.
- Out of line with other bidders: below a quarter or over four times the median
- Out of line with themselves: the £17 typo against their own prices elsewhere
- Unpriced lines, and property totals implausibly low against today's cost
Your procurement policy, followed every time.
Every organisation buys differently. Savvi is set up around yours: the value bands, the route each one needs, who approves, the documents you require and the limits you won't cross. Then it checks every tender against them, so policy is followed by default rather than by memory.
- Value bands and minimum routes: quotes, request for quotation or formal tender
- Named approvers for the route and the award, and nobody approves their own
- Exceptions recorded with a reason and an approval, never quietly skipped
- Required documents, minimum cover, payment terms and supplier limits
Sign off, contract and change over.
Once you've decided, record the sign-off and Savvi emails winners and unsuccessful bidders, creates one contract per winning supplier, and plans the changeover at every site that's moving.
- Contracts filled in from the award: properties, assets and annual values per service line
- Outgoing suppliers given notice; incoming suppliers' mobilisation plans tracked
- Purchase order references recorded per property as they're raised

Questions
Do suppliers need an account to bid?
No. Every supplier contact gets a personal, secure link. They price lines, give call-out rates, answer the questionnaire and upload documents without creating an account, and their work saves as they go.
Can a supplier bid for only some of our properties?
Yes. A supplier can mark any property as not bidding for this site, and the comparison and award treat that property as having no bid from them.
How does Savvi suggest which supplier should win?
For each property it weighs the round-two prices, call-out terms, service levels, whether the supplier is the incumbent, how close they are to the site and the scores you've recorded, using the strategy you choose. It explains every pick, checks the overall mix against your rules, and changes nothing until you apply it.
Can we award different properties to different suppliers?
Yes. Awards are made property by property. Savvi applies each supplier's volume discount for the number of sites they win, and creates one contract per winning supplier.
Can we use our own procurement policy?
Yes. Value bands, the minimum route for each, who approves, scoring weights, supplier limits and required documents are set to match your policy, and Savvi checks every tender against them.
Can we still get a spreadsheet out?
Yes. The comparison exports in the same shape as a traditional cost-analysis sheet, with subtotals per service line and property.
